These terms and conditions govern your use of AxiomaBooks, a bookkeeping, invoicing, and VAT-filing application provided by Doditec Ltd ("we", "us", "our"), trading as AxiomaBooks. By creating an account or using AxiomaBooks, you agree to these terms.
The service
AxiomaBooks provides bookkeeping, invoicing, reporting, and optional VAT return filing tools for freelancers and small businesses in the UK. Some features are only available on certain subscription tiers, as shown on our pricing page.
Your account
You must provide accurate information when creating your account and keep your sign-in details secure. You are responsible for all activity that happens under your account, including any accountant you invite to collaborate on your business.
Your data and your responsibility for it
You own the business data you enter into AxiomaBooks. AxiomaBooks is a tool to help you keep records and prepare figures — it is your responsibility to review every figure, invoice, and VAT return before relying on it or submitting it to HMRC or anyone else. AxiomaBooks is not a substitute for professional accounting or tax advice, and we recommend you have a qualified accountant review your VAT position, particularly before your first live filing.
Subscriptions and payment
Paid plans are billed monthly in advance via our payment processor, Stripe. Prices are shown on our pricing page and may change from time to time; we will give you reasonable notice before any price change takes effect for your account. You can cancel your subscription at any time; your plan will remain active until the end of the current billing period. Downgrading or cancelling a paid plan is managed by contacting us — it is not available as a self-serve action, to help avoid accidental loss of access to your records.
Acceptable use
You agree not to use AxiomaBooks for any unlawful purpose, to attempt to gain unauthorised access to any part of the service, or to submit information to HMRC or any third party that you know to be false or misleading.
Service availability
We aim to keep AxiomaBooks available and reliable, but we do not guarantee uninterrupted access. We may carry out maintenance, and features may be added, changed, or removed as the service develops. We will try to give reasonable notice of any change that materially affects your use of a feature you rely on.
Third-party services
AxiomaBooks integrates with third-party services, including Stripe (payments), Brevo (email delivery), and HMRC's Making Tax Digital APIs (VAT filing, where you choose to connect it). Your use of these integrations is also subject to those providers' own terms. We are not responsible for the availability or actions of these third-party services.
Limitation of liability
To the fullest extent permitted by law, our total liability to you arising out of or in connection with your use of AxiomaBooks is limited to the amount you paid us in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential losses, including loss of profit or data, except where such liability cannot be excluded by law (for example, liability for death or personal injury caused by our negligence, or fraud).
Ending your account
You may close your account at any time by contacting us. We may suspend or close an account that breaches these terms, with notice where reasonably possible.
Changes to these terms
We may update these terms from time to time. The "last updated" date above will always reflect the most recent version. Continued use of AxiomaBooks after a change means you accept the updated terms.
Governing law
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
